The client had grown quickly through acquisition, resulting in six sites each running their own ad-hoc HR processes. Some locations used paper clock-in sheets; others used a mix of different software tools with no integration between them. Payroll was a weekly ordeal of manual reconciliation that regularly produced errors and delays.

With a workforce exceeding 200 employees, the lack of a centralised system was creating compliance exposure around working time regulations and holiday entitlements. Leadership had no real-time visibility of staffing across sites.

Verdas ran a structured vendor evaluation process to select the right HRIS platform for the client's scale and compliance requirements. Once selected, the project was executed in parallel across all six sites with dedicated on-site support during each terminal installation — ensuring no single location suffered extended disruption.

Phase 1 — Week 1
Requirements Capture & Platform Selection

Workshops held with HR, payroll, and site managers at each location. Working time requirements, payroll integration needs, and employee self-service expectations documented. HRIS platform selected and procurement initiated.

Phase 2 — Week 2
Platform Configuration & Data Migration

Employee records cleansed and migrated into the new HRIS. Pay grades, leave policies, and working time rules configured per site. Payroll integration tested end-to-end with finance team sign-off before go-live.

Biometric Terminal Rollout

Biometric clocking terminals installed and networked at all six sites. Each device enrolled employees on-site with Verdas engineers present. Terminals tested for real-time sync latency and failover behaviour before sign-off.
